Unit 7: Invite Guest Users in Bulk

1. Overview

In large organizations, inviting guest users one by one isn’t practical.

Microsoft Entra ID supports bulk guest invitations — allowing administrators to invite hundreds or thousands of users simultaneously using a CSV file.

Bulk invitations save time, ensure accuracy, and create a consistent onboarding process for all external users.

2. Prerequisites

You must be assigned the User Administrator or Global Administrator role.

External collaboration settings must allow invitations (see Unit 4).

If domain restrictions are enabled, make sure invited users’ domains are not blocked.

The CSV file must match the required format.

3. Step-by-Step: Bulk Invite Process

Step 1 – Access the Bulk Invite Tool

Sign in to the Microsoft Entra admin center.

Navigate to:

Identity → Users → All Users → Bulk Operations → Bulk Invite.

Step 2 – Download the CSV Template

Click Download to get the sample CSV template.

The file contains:

A version number (row 1).

Column headers (row 2).

An examples row (row 3) — you must delete this before uploading.

Step 3 – Populate the CSV File

Each row represents one external user to invite.

Required fields:

Email address to invite [inviteeEmail] – the guest’s email.

Redirect URL [inviteRedirectUrl] – optional link (for example, Teams or SharePoint site).

Avoid adding new columns — extra fields are ignored.

Step 4 – Upload and Validate

• Return to the Bulk Invite page.
• Browse to your CSV file and upload it.
• The system validates entries for:
• Syntax errors (like missing @ in emails).
• Blocked domains.
• Duplicates or existing users.
• If validation fails, fix the CSV and re-upload.

Step 5 – Submit and Track Progress

• Once validation succeeds, select Submit.
• The invitation process begins, sending emails to all listed users.
• View job progress under Activity → Bulk Operation Results.

4. Monitoring Results

The Bulk Operation Results page displays:

• Total requests processed.
• Number of successful and failed invitations.
• Detailed failure reasons (e.g., invalid domain, duplicate address).

You can click the Success or Failure counts to see more details per user.

Scenario: Contoso’s procurement division needs to invite 300 suppliers to access a shared vendor portal. The admin compiles a CSV with each supplier’s email and the portal’s redirect URL, validates it, and submits it via Bulk Invite. All suppliers receive invitations simultaneously, with success/failure tracking available for audit records.
